ROLE SUMMARY:

We have an exciting opportunity for an Agency Operator to join our team. In this role, you will be a key member of a team responsible for providing a 24 hours a day, 7 days a week on-call service to our Principals to ensure the safe and smooth turnaround of all appointed vessels within the jurisdiction of the port office.

In addition to a standard working week, you will be required to undertake work out of usual office hours on a rota basis.

KEY RESPONSIBILITIES:

  • Provide full coordination and ownership of appointments at ports within the jurisdiction of the office, from the enquiry and nomination stage through the port call to completion for all types of port agency and husbandry calls.
  • Coordinate all vendors and suppliers well in advance of vessel arrival to ensure a smooth flow of all services with the aim to minimise vessel idle time in port.
  • Boarding of vessels on arrival and/or departure.
  • Maintain up-to-date records of port, terminal and berth information, restrictions and tariffs.
  • Receive and respond to proforma port and husbandry cost requests.
  • Ensure data integrity of Inchcape internal systems for all appointments including service ordered costs (PDA/CE) and timely handover of jobs to Finance.
  • Ensure compliance to SOPs, KPI’s, and customer specific standing instructions and requirements.
  • Ensure compliance to customer specific standing instructions and requirements, keeping the customer regularly informed throughout.
  • Escalate any operational issues or problems in a timely manner to the line manager.
  • Request pre-funding as required and ensure adherence to OK-to-Sail requirements.
  • Ensure any special or standing disbursement instructions are communicated to DA Team.
  • Ensure all suppliers well understand invoicing procedures and contacts.
  • Assist DA Team with chasing ageing outstanding vendor invoices.
  • Perform any other tasks that relate to the port agency function as/when business needs dictate.

WHO YOU ARE:

  • Prior port agency experience or a background/education in the maritime, shipping or logistics field.
  • Maritime or ICS shipping qualification (or willing to work towards).
  • Strong communication and leadership capacities with a hands-on attitude.
  • Excellent time management skills; experience multi-tasking in a fast-paced pressured environment.
  • Ability to prioritise workload to meet strict timelines calmly.
  • Comfortable dealing with different nationalities/cultures and levels of authority (ships’ Captains etc).
  • Competent user of the Microsoft Office suite including Outlook, Excel and Word.
  • Experience working in a customer-facing role.
  • Hold a full Dutch Driving License and be willing to drive to ports across the region as required.
  • Able and willing to work outside normal office hours (weekends and on public holidays) as required.
  • Able to attend port calls which includes being outside in all seasons and physically boarding ships
